Work with contracts

This section describes how you work with contracts in the system.

Tagd keeps track of your contracts and reminds you when something needs to be done. You receive reminders by email and can see all your tasks gathered on the overview page.

Email reminders

When one of your contracts is approaching its cancellation or renewal date, you receive an email. The email contains a link directly to the contract.

Your tasks on the overview page

When you log in, in addition to your inbox, you can see your upcoming tasks on the overview page. These may be renewals or other tasks related to contracts assigned to you.

You can switch between My tasks and everyone's tasks, for example, if you want to help colleagues with theirs. Your contracts are shown below the tasks.

A task approaching its due date is highlighted in red, so you can see what is most urgent.

Extend or terminate a contract

  1. Click the task. You will go straight to the contract.

  2. Choose whether to extend or terminate the contract.

You can also go directly to the contract, for example, via the contract list or a folder.

Extend a contract

When you choose to extend a contract, Tagd displays the period proposed for the extension. You can adjust the period and any reminders before clicking Extend.

The task is then marked as handled.

Terminate a contract

If you choose to terminate the contract, you can add a termination note and specify the termination date and end date.

Update multiple contracts at once

Sometimes you need to make the same change to many contracts at once, for example when a contract owner has left or when a colleague is taking over responsibility for a certain type of contract.

  1. Find the contracts in the contract list, for example by filtering by the contract type Sales Agreement.

  2. Select the contracts you want to change.

  3. Choose what you want to do with them.

You can do the following with the selected contracts:

  • Set contract owners – choose who should own the contracts.

  • Manage access – change who has permission to access the contracts.

  • Move – move the contracts to another folder.

  • Add or remove tags

  • Delete the contracts.

By combining filters and bulk updates, you can quickly keep metadata organized across many contracts.
